We're now going to investigate the differences between two of the paste options when inserting a chart from Excel, embed workbook and link data.
The difference between embed workbook and link data is how the chart data is stored in the presentation.
Embed workbook means that the chart Excel file becomes part of the presentation, so PowerPoint always knows where to find it.
Link data means the chart Excel file remains separate from PowerPoint and links to the file stored elsewhere on your device.
If you're sending the presentation to someone external, it's best practice to use embed workbook as then there won't be any issues with the charts when the user opens the presentation.
Whereas if you share a presentation with someone external using link to data, the chart won't load properly unless they have the source file as well as the presentation.
It's better practice to embed the workbook when inserting a chart from Excel as you're less likely to have issues further down the line when distributing the presentation and the overall file size of the presentation won't be impacted by much.
So overall, it's worth it in terms of sending these presentations to stakeholders and clients.
Any potential issues with linking or embedding the Excel chart shouldn't be a cause for concern, as the presentation will likely be exported to a PDF rather than sending the PowerPoint presentation itself.
